First follow up and audit report
These reports are important in
the process of work and performance follow up
processes plus assuring the correctness of data.
These reports are considered the main factor in
supporting the system management so that all
processes goes in a systematic manner according to
the form and time defined for it. This is how we can
discover the strength and weakness in the
procedures. Below is a set of follow up and audit
reports according to the stage:
1. Historical follow-up
reports for signing into the system

Second reminders and time limits for sending data
Email reminders are used in order
to avoid any delay in the process of data loading by
the concerned HEI. A methodology for sending
reminder emails shall be set to be sent prior to the
due date of loading data files so that HEI start
preparing data to be sent. The methodology for
emails reminder is:
1. Reminders to prepare the data
by the HEI will be sent to the person responsible
for data loading at the institute. It start two
months before the data load due date. Weekly
reminder will be sent for a period of two months.
2. Reminders for the data load
stage directed to the person responsible for sending
the data in the institute and it starts from the
start of pre-specified date of sending data. Two
reminders per week will be sent for the first month
and three reminders per week for the second month
and in the third month a daily reminder will be sent
and a copy will be directed to the concerned
manager. Reminder emails shall stop when the data
sent before the due date.
3. Reminder for sending data
after the data review and check directed to the
person responsible on sending the data in the
institute. It starts from the date of any check
failure. Those reminders will be sent twice weekly
and stop when data are resent.
